In this policy, “we”, “us” and “our” mean Rectify Plumbing Pty Ltd. “You” means anyone who contacts us, uses our website, or engages us for plumbing work.
What information we collect
When you enquire through our website or by phone
- Your name
- Your email address
- Your phone number
- Your suburb or service address
- The service you need and how urgent it is
- How you heard about us
- Anything you tell us in the message field
When you book or receive plumbing work
- Your service address and access details
- Details about your property and its plumbing, such as the type of hot water system, number of storeys, and the condition of fixtures, drains and pipework
- Photographs and video taken during inspections and work, including CCTV drain camera footage, used to document findings and prepare your report and quote
- Records of the work performed, quotes, invoices and payments
- Notes of our conversations with you
When you join a Rectify membership plan
If you subscribe to one of our membership plans, we collect and store:
- Your name, email address and phone number
- Your billing and service address
- Your property type, number of storeys and hot water system type
- Which plan you are on, when it started, and its status
- Which included services you have used, such as your annual Health Check, complimentary tap services and CCTV inspections
- Reference numbers that identify your customer and subscription records with our payment provider
- Notes made by our office about your membership
Payment information
We never see or store your card number, expiry date or security code. All payments and subscriptions are processed by Stripe, which handles card details directly and securely. We receive only confirmation that a payment succeeded or failed, and a reference number. Stripe’s own privacy policy governs how it handles your payment details, and is available at stripe.com/au/privacy.
You can update your card, view your invoices or cancel your membership at any time through the Stripe customer portal linked from your receipt emails. You do not need an account on our website.
When you visit our website
Our website collects some information automatically:
- Your IP address, browser type and device type
- Which pages you visited, how you arrived, and how long you stayed
- Cookies and similar technologies used by Google Analytics and Google Tag Manager to measure how our website is used
We use this to understand which pages are useful and to improve the site. We do not use it to identify you personally.
Our contact forms use Google reCAPTCHA to prevent spam. reCAPTCHA collects hardware and software information and sends it to Google for analysis. Its use is subject to Google’s Privacy Policy and Terms of Service.
You can control or delete cookies through your browser settings, and you can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on. Blocking cookies will not stop you from using our website.
Why we collect it
We use your personal information to:
- Respond to your enquiry and provide a quote
- Schedule and carry out plumbing and gasfitting work
- Prepare your Home Plumbing Health Check report
- Take payment and issue invoices and receipts
- Administer your membership, including tracking which included services you have used and reminding you when your annual Health Check is due
- Contact you about your job, booking or account
- Keep records we are required by law to keep, including for tax, warranty and licensing purposes
- Handle complaints, warranty claims and insurance matters
- Improve our website and services
Marketing emails
If you have asked us to, or if you are a customer or member, we may send you maintenance reminders, seasonal plumbing tips and member offers.
Every marketing email we send includes an unsubscribe link, and we act on unsubscribe requests promptly. You can also ask us to stop at any time by emailing enquire@rectifyplumbing.com or calling 0400 073 180.
Unsubscribing from marketing does not stop essential messages about a job you have booked, an invoice, or your membership, such as a payment receipt or a failed payment notice.
We do not sell, rent or trade your personal information to anyone.
Who we share it with
We share your information only where it is necessary, and only with:
- Our plumbers and office staff, so they can quote, schedule and carry out your work
- Stripe — payment processing and subscription billing
- Our job management and scheduling software (currently ServiceM8) — to manage bookings, job records and invoices
- Kinsta — website hosting. Our website is hosted on servers located in Sydney, Australia.
- Cloudflare — website security and content delivery
- SendGrid (Twilio) — sending emails from our website and systems
- Google — website analytics, tag management and spam protection
- Our accountants, bookkeepers and professional advisers, where needed
- Suppliers or specialist subcontractors, where a job requires it, and only the details they need to attend
- Insurers, or government and regulatory bodies, where we are required or permitted by law
Information sent overseas
Our website is hosted in Sydney, Australia. However, some of the service providers listed above are based overseas or store data overseas, including Stripe, Google, Cloudflare and SendGrid, which operate primarily from the United States and other countries.
By using our website or engaging our services, you consent to your information being disclosed to these providers and stored outside Australia. We take reasonable steps to use reputable providers with appropriate security and privacy standards, but we cannot control the laws of other countries.
How long we keep it
- Enquiries that do not become jobs: generally up to 2 years.
- Customer and job records, invoices and payment records: at least 7 years, to meet tax, warranty, insurance and licensing obligations.
- Membership records: for as long as your membership is active, then at least 7 years for the reasons above.
- Inspection photographs and reports: for as long as they may be needed for warranty or dispute purposes, generally 7 years.
- Marketing contact details: until you unsubscribe or ask us to remove you.
When we no longer need your information and are not required to keep it, we take reasonable steps to destroy it or de-identify it.
How we protect it
We take reasonable steps to protect your information from misuse, loss and unauthorised access. These include:
- Encrypted connections (HTTPS) across our website
- Restricting access to customer records to staff who need it
- Password protection and two-factor authentication on our systems
- Leaving card handling entirely to Stripe, so card numbers never reach our systems
- Keeping our website software and security patches up to date
No system is completely secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required.
Accessing or correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct anything that is wrong or out of date. Email enquire@rectifyplumbing.com or call 0400 073 180.
We will respond within a reasonable time, normally within 30 days. We may need to verify your identity first. There is no charge for asking, though we may charge a reasonable fee for the cost of supplying a large volume of records. If we refuse a request, we will tell you why in writing.
You can also ask us to delete your information. We will do so unless we are required to keep it for legal, tax, warranty or insurance reasons.
Anonymity
You are welcome to ask general questions about our services without giving your name. We will need your contact and address details if you want a quote or want us to attend your property.
Children
Our services are intended for adults. We do not knowingly collect personal information from children. If you believe a child has given us their details, contact us and we will delete them.
Complaints
If you think we have mishandled your personal information, please tell us first so we can put it right. Email enquire@rectifyplumbing.com with the subject “Privacy complaint”, or call 0400 073 180.
We will acknowledge your complaint promptly and aim to resolve it within 30 days.
